Austin Commercial Leverages Integration Between Prolog® and Adenium DFS to Save Big Managing Project Documents

Austin Commercial, a nationally-ranked general contractor based in Dallas, Texas a Prolog customer, was in search of a solution to better manage their project documents. Project documents needed to be quickly indexed and entered into Prolog in order for Austin Commercial to create bid packages and distribute documents to meet its owner’s request. Austin also needed to provide the owner with a complete document archive at the end of each project. The solution they selected was Adenium’s Document Fulfillment System (DFS) Contractor with ReproMax services.

Adenium Systems is leading the way in providing construction document management and fulfillment software, and now provides a Prolog integration module as part of their DFS solution. This seamless integration combines the document management features of DFS with the project management capabilities of Prolog to create one, dynamic project control solution - automating all aspects of the construction project. Fred Cardenas, PM Systems & Technical Support at Austin Commercial, has seen first-hand the cost and time savings from Austin’s Prolog/DFS integration. “The decision to use the DFS integration with Prolog helped us reduce reproduction costs and put less pressure on data entry,” said Cardenas.  “We were able to continue to use Prolog as our standard project management interface, while adding a simple-to-use integration to get the document management functionality we needed.”

DFS features a complete set of document indexing tools that make it quick and easy to enter numerous documents into Prolog. In addition, the DFS Notification System allows general contractors to solicit their list of bidders via email or fax when bid packages or new documents are available. Bidders automatically receive access to a secure online plan room where they can view, order, or print the documents they need.

DFS also adds full document version control so that all project team members know which document is the current version. Every version of a document is stored in the DFS Vault. Upon project completion, DFS contains a complete history of all project documents, which can be kept in DFS for online access, or archived to an external drive with DFS’s Electronic Project Closeout.

Adenium Systems has created a complete solution by partnering with ReproMAX, the largest international network of independent reprographic companies with over 230 locations and $1.2 billion in annual revenue. ReproMAX has standardized their operations on DFS software solutions. This enables Prolog users to order prints locally and to completely avoid the shipping costs and delays associated with waiting for those documents to arrive. Adenium Systems also has a unique partnership with Hewlett Packard (HP), which provides “HP Instant Print” functionality so that users can instantly print from the DFS system to any HP printing device.
