Creating Dunning Letters

Creating a customized Dunning Letter for your company begins with the creation of a template for merging your data and a query that filters the data to be merged. If you’ve ever gone through the Dunning Letter Wizard, you may recall a section that asks you to select a query. For a customized Dunning Letter, you will have to tailor a query to have the same fields the Dunning Letter itself has. This tip will walk you through the process and direct you to areas in Help that can assist you along the way.

Listed below are the steps to create both your template and the matching query. Both template and query work together to pull and display the results to meet your company standards.

  1. Create your template

The Dunning letter template is like any other mail merge template you would use. Just like any other Template, you add your fields, add your tables, and format your text. Please see the help section under Word processing/Using the Dunning Letter wizard/Modifying dunning letters.

  1. Create your Query

Now that you have your template created, you need to create a matching query. The keyword here is matching. In the query selection phase of the Dunning Letter wizard, you will have two things to specify.

  1. Which query you will use.
  2. The company and/or contact the letter will be addressed to

  1. Requirements

In the Query you create, you will be required to add a field for the recipients Contact ID and/or Company ID. Without the Contact ID or Company ID the query will not properly function during the Dunning Letter wizard process.
